SENIOR PROJECT MANAGER

St. Louis, Missouri-based EVNTIV, an innovative event planning and entertainment agency is looking for an industry leader with 4+ years experience in planning and executing events, meetings and entertainment programs.

The Senior Event Project Manager manages the top 10% of projects for the company maintaining relationships with key clients. This position requires working with top organizations to identify core mission objectives for the event they wish to host, create an event strategy based on those objectives and lead a team to execute the event. A high level of client service is required for this position.

Strategy / Creative

  • Lead a client through process to determine objectives
  • Develop event proposal based on objectives
  • Create event themes that speak to client objectives
  • Create and assemble visual elements that support theme
  • Write and illustrate proposals that communicate strategy and theme
  • Pitch proposal live for audiences of 6 to 30 people

Duties

  • Assist Senior Team in sales process
  • Point of contact for clients
  • Manage day-to-day needs for many on-going projects
  • Draft, edit and deliver proposals to clients
  • Draft, update and send contracts and invoices
  • Create and distribute schedules
  • Draft accurate profit & loss reports
  • Venue research, contracting and negotiation
  • Caterer selection, contracting and negotiation
  • Source pricing and place orders for rentals (tables, chairs, glasses, etc.)
  • Source pricing and place orders for décor items (floral, linen, decorations, etc.)
  • Create, update and maintain budgets
  • Liaison with accounting department on all project billings
  • Performer, speaker and celebrity research
  • General research for proposals
  • On-site working at event

Requirements

  • 4+ years of related experience in the event planning or entertainment industry and/or any equivalent combination of experience and education from which comparable knowledge, skills and abilities have been achieved
  • Proficient in Microsoft Office (Word, Outlook, PowerPoint, Internet).
  • Experience with CAD programs or Microsoft Visio.
  • Must be very detail-oriented, possessing exceptional organizational skills.
  • Must be willing to work both independently and manage a team of professionals.
  • Must have ability to multi-task in fast-paced environment, competently handling demanding deadlines.
  • Excellent customer service, problem-solving skills.
  • Exceptional communications (verbal and written) and interpersonal skills.
  • Ability to analyze and interpret general business contracts, as well as proficiently write reports, and other business correspondence.
  • Resourcefulness—Applicant must possess innovative problem solving and decision-making skills.
  • Proficiency in budgetary management skills requiring participation in budget meetings and being able to discuss and communicate changes that impact the bottom line for the client and employer.

Technical Director – Live Events

St. Louis, Missouri-based EVNTIV, an innovative event planning and entertainment agency is looking for an industry leader with 4+ years experience in managing audio / visual and scenic elements for events, meetings and entertainment programs.

The Technical Producer is responsible for the management of audio / visual elements for a wide range of events taking place in St. Louis, MO and around the world. This position reports to Vice President and requires working with Evntiv executives and Project Managers to design, spec, order and manage audio / visual elements. The ideal candidate will be a resourceful, energetic team player with strong experience in scenery, staging, audio, lighting, video, A/V production and management.

Duties:

  • Work with the internal Project Managers to determine the specific equipment specification needed to create successful event design
  • Work with first-class vendors to design audio, video, lighting systems for events
  • Draft room diagrams with A/V elements (CAD, Visio, Vector works)
  • Coordinate event supplies and shipments
  • Negotiate, contract and manage audio visual elements for a wide variety of events
  • Coordinate the design, construction and installation of sets and décor pieces
  • Confirm that the equipment and technical positions will in fact meet the client’s needs
  • Manage the bid process and contract process with A/V vendors
  • Create, update and maintain A/V budgets
  • Manage A/V costs as dictated by project budgets
  • Report changes and fluctuations in pricing to Project Managers throughout the life of a project
  • Understand and work within union labor guidelines (IATSE, IBEW, Stage hands, Teamsters, etc.)
  • Interface with venue managers regarding A/V designs and venue capabilities
  • Process Purchase Orders as required
  • Develop and maintain high-level relationships with vendors and suppliers
  • Develop pipeline of freelance individuals and contractors to supplement production team as needed
  • Actively seek out cost savings and efficiencies in budgets and A/V quotes
  • Create technical specification sheets based on project requirements to send to vendors
  • Assemble and distribute project documents to crew members as needed
  • Manage day-to-day needs for many on-going projects
  • Create and distribute production schedules and diagrams
  • Collect, review and process invoices from vendors
  • Venue research / advancing technical specifications
  • Advance event details with performers and performer’s management
  • Create, update and maintain budgets
  • Liaison with Project Managers on all project billings

This contract position requires working with one of our main accounts to identify event needs, source vendors, submit purchase orders and track payments made on behalf of client. This position requires a high level of organization and client service.

Duties
